WhatsApp Message Templates for Tradespeople: 8 Copy-Paste Scripts

Stop typing the same messages from scratch. These 8 ready-to-use WhatsApp templates cover every stage of the job — from first enquiry to Google review request.

If you run your trade business through WhatsApp, you probably type the same messages dozens of times a week. Replying to a new enquiry. Chasing a quote that never got answered. Reminding a customer about an unpaid invoice. Asking for a review after a job well done.

These templates save you the typing. Copy them, adjust the names and numbers, and send. Or let Bram draft them for you automatically based on your jobs and conversations.

1. Replying to a new enquiry

First impressions matter. Respond fast and professionally, even when you're mid-job and can only reply from your phone.

Hi [Name], thanks for getting in touch! I'd be happy to help with [job type]. I can come and take a look on [day/date] — does that work for you? If you have any photos of the issue, feel free to send them over and I'll get a rough idea before I arrive.

2. Sending a quote

Once you've assessed the job, send the quote with enough context so the customer feels confident approving it.

Hi [Name], here's the quote for the [job description] at [address]:

Labour: £[amount]
Materials: £[amount]
Total: £[amount] + VAT

This includes [brief scope of work]. I can start on [date]. Let me know if you have any questions — happy to talk it through.

3. Following up on an unanswered quote (3-day follow-up)

Most lost quotes aren't lost — the customer just got busy. A gentle follow-up wins back a surprising number of jobs.

Hi [Name], just checking in on the quote I sent over on [date] for the [job]. Happy to answer any questions or adjust the scope if needed. Still available to start [week/date] if you'd like to go ahead.

4. Confirming a job booking

Once the customer says yes, send a confirmation so everyone has the details in writing. Reduces no-shows and misunderstandings.

Great news, [Name] — all confirmed! I'll be with you on [date] at [time] to carry out the [job description]. Please make sure [any access instructions or prep needed]. See you then!

5. On my way message

Customers appreciate a heads-up. It reduces the "are you still coming?" messages and sets a professional tone.

Hi [Name], just wanted to let you know I'm on my way and should be with you at around [time]. See you shortly!

6. Invoice after job completion

Send this on the same day the job is done. The longer you wait, the slower you get paid.

Hi [Name], great working for you today. Here's the invoice for the [job description]:

Invoice #[number]
Amount due: £[total]
Payment due: [date, e.g. 14 days]

You can pay by bank transfer to [sort code / account number] or by card via [link]. Thank you!

7. Chasing an unpaid invoice

Most late payments are simple forgetfulness. Keep this polite and factual — it's usually all you need.

Hi [Name], hope all is well. Just a friendly reminder that invoice #[number] for £[amount] is now [X days] overdue. If you've already sent it, please ignore this! If not, the bank details are [sort code / account]. Let me know if you have any questions.

8. Requesting a Google review

Google reviews are one of the most powerful free marketing tools a tradesperson has. Most happy customers are glad to leave one — they just need to be asked, and given the direct link.

Hi [Name], thanks again for having me — it was a pleasure working on your [job]. If you're happy with the result, a quick Google review would mean a lot and helps other customers find me: [your Google review link]. Only takes 30 seconds. Thanks!
